





**JOB VACANCY – INCCA UNIVERSITY OF COLOMBIA** The **INCCA University of Colombia**, a higher education institution with a solid academic background and a strong commitment to the comprehensive training of ethical, critical, and socially responsible professionals, invites interested candidates to participate in the selection process for the following position: **ACADEMIC SECRETARY** **Required Profile:** * **Education:** Graduate professional in **Industrial Engineering** or **Business Administration**. * **Experience:** Extensive experience in positions related to administrative or academic processes, document management, and support to program directors or university departments. **Knowledge and skills:** * Advanced proficiency in **office software tools** (Excel, Word, PowerPoint, among others). * Excellent written and verbal communication skills. * Ability to plan, organize, and follow up on administrative tasks. * Detail-oriented, reliable, and collaborative work attitude. **Functions:** **MAIN FUNCTIONS** * **Student and public service** * Receive and route requests or inquiries from students, faculty, and visitors. * Manage phone calls, emails, and internal messages related to the academic program. * **Support for academic and administrative processes of the program** * Coordinate logistics for academic activities (class schedules, room changes, room bookings). * Prepare and distribute circulars, memoranda, and announcements for teachers and students. * Maintain updated student records (enrollments, certifications, grades, minutes). * **Document and correspondence management** * File and safeguard official documents: study plans, committee minutes, academic authorizations. * Prepare letters, diplomas, or certificates following institutional formats. * Digitize and organize reports and program records within the internal platform. * **Logistical support for academic events** * Coordinate convocations for curriculum committee meetings, seminars, or conferences. * Verify office supplies (stationery, materials, audiovisual equipment) and manage replenishment requests. * Ensure spaces are prepared in advance (classrooms, conference rooms). * **Communication with faculty and administrators** * Schedule appointments or meetings with the program director, deans, and academic coordinators. * Receive and organize the weekly schedule of administrative and academic activities for the team. * **Support in basic budget control of the program** * Record invoices or receipts for minor expenses (photocopies, photocalls, teaching materials). * Track per diems and minor expenses according to finance office guidelines. * **Other assigned administrative tasks** * Collaborate with the Human Resources department in hiring processes for auxiliary or teaching staff. * Assist in developing program performance indicators (attendance reports, enrollment statistics). **Working conditions:** * **Type of contract:** Fixed-term. * **Work schedule:** Full-time.
