Renewal subject to performance and availability of funds GRADE: SC4 \_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_\_ BACKGROUND AND PURPOSE OF THE ASSIGNMENT: The United Nations World Food Programme (WFP) is the world's largest humanitarian agency fighting hunger. In Colombia, the support provided by WFP to the national government aligns with Sustainable Development Goals (SDGs) 2 and 17, utilizing innovative tools such as cash transfers and local food procurement through farmers' associations. WFP activities in Colombia focus on the most vulnerable populations, including victims of violence, marginalized communities, and ethnic groups. The objective is to rebuild and strengthen their livelihoods, ensuring they have adequate access at all times to nutritious and diverse diets, and enhancing their capacity to recover and adapt to climate change. This is achieved progressively through building the capacity of local authorities to implement responsible programmes that contribute to reducing food insecurity and malnutrition. Strategic guidance and proposed activities in the Country Strategy respond to Sustainable Development Goals (SDGs) 2 and 17 and address current challenges faced by the most vulnerable populations and local governments in Colombia. The Country Strategy contributes to peacebuilding, reintegration, and improved livelihoods for the most vulnerable people. Under the supervision of the Information, Monitoring and Registration Associate or designated officer, the travel assistant will be responsible for efficiently supporting general administrative, financial, and operational processes necessary to support the implementation of agreements through optimal use of available resources based on principles of participation, respect, coexistence, equality, and gender equity. RESPONSIBILITIES: 1\. Process assigned travel arrangements, ensuring compliance with established procedures. 2\. Manage payments for tickets, per diems, advances, reimbursements, and other travel-related expenses for assigned processes. 3\. Monitor the regularization of travel and non-conventional transport expenses, ensuring it is completed within the corresponding month and does not exceed 30 calendar days. 4\. Review outstanding invoices, identify and report discrepancies, and follow up as needed to ensure timely payment within established deadlines. 5\. Continuously update the travel expense database to prepare biweekly and monthly reports including quantitative and qualitative analysis of the data. 6\. Monitor expiry dates of MPOs (Micro Purchase Orders) and issue corresponding alerts. 7\. Control inventory of office consumables, promoting their rational use. 8\. Provide logistical support for events and meetings in accordance with established protocols. 9\. Coordinate and supervise nationwide courier and shipping services. 10\. Participate in weekly planning and monitoring of activities aligned with objectives defined by supervision. 11\. Respond to inquiries from internal and external clients, escalating them when necessary to ensure timely responses. 12\. Manage documentation and serve as administrative liaison with headquarters, facilitating optimization of activities. 13\. Maintain standard filing systems, correspondence records, messages, and telephone calls, ensuring information availability and accuracy. 14\. Support data entry into corporate systems. 15\. Perform any other duties assigned related to the position. QUALIFICATIONS AND EXPERIENCE REQUIRED: Education: Completion of secondary education cycle. A professional degree in administrative, accounting, economics, finance, or fields related to job functions is desirable. Specific Experience: Four (4\) years of progressive experience in administration, travel management, per diem handling, accounts receivable/payable, and general office administrative work. Intermediate knowledge of spreadsheets and database software packages. Languages: Fluency in Spanish; intermediate knowledge of English is desirable.
