




**Position:** Information Systems Assistant **Location:** OS Colombia **Academic Qualification:** Technical degree in Systems, Business Administration, or Statistics. The Information Systems Assistant will be the person who connects field operations with data, ensuring that what happens during service delivery is reflected in clean databases, clear dashboards, and useful reports for clinical, programmatic, and financial decision-making. *Purpose of the Position:* To guarantee the implementation, operation, and improvement of the Foundation’s health information systems, with a focus on: * Clinical–administrative data quality (completeness, consistency, duplicates, traceability). * Analysis and visualization (dashboards, KPIs, trends). * Compliance (mandatory reporting to regulatory bodies, accountability reporting to donors/ partners). * Basic costing per patient/program to support closings and audits. **Main Responsibilities:** **1. Systems and Data Management** * Administer forms, catalogs, and users of the HIS and internal tools; maintain versions, permissions, and logs. * Design and maintain digital data capture templates for service days and sites; consolidate the master database of patients, consultations, procedures, and costs. * Standardize variables (diagnostic/procedural coding, IPS catalogs, EAPB, etc.) and execute quality controls (checklists, validation rules, deduplication). **2. Analysis and Reporting** * Produce operational and managerial reports (productivity, timeliness, no-shows, cancellations) and dashboards with programmatic and patient safety KPIs. * Prepare mandatory health system reports and reports for donors/partners (as per established frequency and formats). * Present findings and early warnings (gaps in completeness, bottlenecks, time variations). **3. Costing and Support for Closings** * Consolidate costs per patient/program (supplies, transportation, lodging, laboratory), reconciling with administrative/finance departments. * Prepare annexes and supporting documentation for audits and monthly closings. **4. Support and Continuous Improvement** * Train users (clinical/administrative) on HIS usage, templates, and good data recording practices. * Document SOPs (data entry, duplicate control, closings, catalog updates). * Manage incidents with vendors/technical support while maintaining internal SLAs. **Required Profile:** * Academic Qualification: Technical or technological degree in Systems, Administration, or Statistics (or related fields). Preferred: training/courses in Health Information Systems or public health. * Experience: ≥ 2 years in related roles (data management, reporting, systems support). Experience in the health sector (HIS, health IPS/NGOs, care pathways) is valued. * Technical Knowledge (health emphasis): Colombian health system—key actors, referral/counter-referral flows, clinical records, required reports. Advanced Excel: pivot tables, Power Query, logical and lookup functions (IF, XLOOKUP, INDEX–MATCH), data validation, data cleaning and consolidation. Desired: Power BI (or equivalent visualization tool), experience with HIS / electronic health records. * Good practices in data quality, normalization, version control, and information security. **Competencies** * Analytical thinking, attention to detail, results orientation. * Internal user support (clinical/administrative) and clear communication. * Confidentiality and ethics regarding sensitive health information. * Teamwork, proactivity, and continuous improvement. * Time management and prioritization in multi-demand environments.
