FUNCTIONS AND RESPONSIBILITIES • Ensure confidentiality of company information • Conduct onboarding and training to strengthen the company’s workforce competencies • Receive, register, classify, and distribute documentation entering and exiting Human Resources. • Administer information systems and files pertaining to the department. • Organize and manage executive schedules and communications, coordinating scheduled activities. • Plan and organize corporate events, meetings, and other activities promoting employee well-being • Archive, retrieve, and process incoming or outgoing documentation; track files or proceedings. • Maintain up-to-date files and databases corresponding to the department. • Enter data into the respective system (World Office), update personnel information and payroll updates. • Serve internal and external users, in person or by phone, as appropriate for the department • Support administrative services for other company staff. • Process information serving as support for various functions within the department. • Collect, prepare, and update reports and documents related to personnel activities (recruitment, termination, absences, infractions, complaints, etc.). • Carry out the recruitment process. • Post job vacancies. • Collect applicant information and submit it to relevant departments according to profile requests. • Contact potential candidates and schedule job interviews. • Verify applicant details such as academic background, work experience, and references, among others. • Conduct necessary follow-up for each candidate. • Carry out the hiring process. • Prepare the new employee’s file. • Confirm that submitted documentation is complete. • Support necessary onboarding about the company for new employees and resolve their questions and concerns. • Maintain records of employee files, complaints, and claims in general. • Complete documentation related to termination of employment. Also, provide assistance during exit interviews. • Issue orders for employee retirement medical examinations. • Calculate availability hours for personnel. • Purchase and deliver food and/or education vouchers. • Prepare payrolls and send information to Accounting for review; once reviewed by Accounting, forward to Management for payment approval and subsequently to Treasury with the payroll for disbursement. • Prepare final settlements for departing employees. • Track vacations, medical leaves, and other related matters. • Respond to payroll-related inquiries. • Maintain records of employee benefits, among others. • Issue certificates for each entity where the employee is affiliated. • Issue employment certificates requested by employees. • Maintain control ensuring all documents are duly signed by the employee. • Process incoming calls and emails regarding queries on payments, vacations, and other matters related to the department. • Keep database information updated. • Schedule appointments and meetings. • Process company personnel social security contributions, maintain validity, and archive accordingly. • Issue disciplinary warnings and formal reprimands. • Generate commitments to comply with the internal work regulations • Process enrollment and withdrawal of personnel from ARL (Occupational Risk Administrator). • Provide selected IPS (Healthcare Providers) with medical examination orders for designated personnel. • Execute employment contracts under the appropriate modality for new hires and contract extensions. • Issue pre-notice and contract termination letters. • Maintain an Excel tracking sheet for operational personnel assigned to projects to avoid inconsistencies in provided information. • Enroll new personnel in EPS (Healthcare Provider), ARL (Occupational Risk Administrator), CCF (Family Compensation Fund), and PENSION (Pension Fund) if the employee is making contributions for the first time. • For driver hires, verify driving license and traffic violations. • Verify judicial background upon personnel hiring. • Identify new opportunities in public and private entities via various procurement portals. • Read, review, and analyze tender documents concerning personnel requirements . -Requirements- Minimum education: University Degree / Professional Program 5 years of experience Keywords: resident, supervisor, sub-manager, responsible, coordinator, manager, captain, resources, human
