Document Controller Analyst

We are present across four continents, with headquarters in Oslo, Norway. ### **Main Purpose of the Role** We are currently seeking a Document Control Analyst in Girardot, Colombia, to join our global team working together toward our vision: Improving our future. As a Document Control Analyst, you will assist in all aspects related to project documentation within the country. **Contract Type: Fixed-term contract up to three (3) years.** ### **Key Responsibilities** * Create all additional document profiles for internal documents according to instructions from the Project Document Controller. * Create all document profiles according to SMDLs and return project document numbers (DocID) to contractors. * Upload all deliverable documents received via transmittal. * Review and edit documents to ensure accuracy and compliance. * Distribute documentation through workflow based on the project distribution matrix and control document flow into and out of the department. * Ensure all workflow processes are completed. * Generate outgoing transmittals: return documents with acceptance codes and comments to contractor/supplier. * Track receipt and register all site diaries in the system. * Process all emails received in the project mailbox for both projects according to the project mailbox and email usage guidelines. * Manage correspondence according to the Quick Guide – Correspondence Register. * Ensure project templates and users are updated and available. * Administer the external sharing site. * Provide training to new project site personnel on the Document Management System for both locations. * Report document status to the Project Document Controller and Project Technical Manager. * Support other document control needs as requested by the Project Document Controller. ### **Qualifications and Competencies** * Education: University degree (may be substituted with relevant experience). * Proficiency in English – spoken and written. * Experience: More than 5 years in document control, preferably in EPC/construction projects. * Basic understanding of engineering, procurement, construction, and commissioning documents. * Excellent knowledge of MS Suite software. * Familiarity with EDMS. * Good practical knowledge of SharePoint. * Knowledge of ISO9001. ### **Personal Characteristics** All employees must contribute to Scatec's vision: Improving our future, and adhere to the company values: * **Predictable**: demonstrates clear communication and listening skills, shares information openly and honestly. * **Results-oriented**: demonstrates determination, proactiveness, ability to prioritize and work independently. * **Change agent**: demonstrates entrepreneurial spirit, can challenge, learns quickly, takes initiative and adapts. * **Teamwork**: demonstrates collaboration, shares responsibilities, able to compromise, maintains a positive attitude.
