




We are seeking a responsible administrative assistant to carry out various administrative and office tasks. The administrative assistant’s duties include providing support to our directors and employees, assisting with daily office needs, and managing our company’s general administrative activities. What are the responsibilities of an administrative assistant? Among the administrative assistant’s responsibilities are organizing travel and meetings, preparing reports, and maintaining appropriate filing systems. The ideal candidate should possess excellent oral and written communication skills and be capable of organizing work using tools such as MS Excel and office equipment. If you also have prior experience as secretarial staff or an executive administrative assistant, and are familiar with our industry, we would like to meet you. Ultimately, the selected administrative assistant must ensure the efficient and proper daily operation of our office. Responsibilities Answer and forward telephone calls Organize and schedule appointments Plan meetings and draft detailed minutes Write and distribute emails, correspondence notes, letters, faxes, and forms Assist in preparing scheduled periodic reports Develop and maintain a filing system Update and maintain office procedures and policies Order office supplies and research new agreements and suppliers Maintain contact lists Make reservations and handle other travel preparations Prepare and reconcile expense reports Provide general assistance to visitors Serve as the point of contact for internal and external clients Act as liaison with executive administrative assistants and superiors to manage requests and inquiries from senior directors Requirements Proven experience as an administrative assistant, virtual assistant, or office administrative assistant Knowledge of office management systems and procedures Practical knowledge of office equipment, such as printers and fax machines Proficiency in MS Office (especially MS Excel and MS PowerPoint) Excellent time-management skills and ability to prioritize tasks Attention to detail and problem-solving abilities Excellent written and verbal communication skills Strong organizational skills with the ability to multitask Secondary education diploma; additional qualifications such as administrative assistant or secretarial certification are preferred.
