




**JOB FUNCTIONS – ADMINISTRATIVE ASSISTANT** **Company:** Inflables de Colombia **Location:** Mosquera, Cundinamarca **1\. Document management and administrative tasks** * Organize, digitize, and archive company documents (quotations, purchase orders, invoices, certifications, blueprints, permits, and basic accounting documents). * Prepare letters, reports, certifications, requests, and other required communications. * Keep supplier, customer, and contractor files up to date. **2\. Customer service and commercial support** * Respond to calls, WhatsApp messages, and emails from customers interested in inflatable castles and slides. * Record inquiries, coordinate quotations, send technical specifications, and follow up with each customer. * Assist in scheduling deliveries, shipments, installations, and technical services. **3\. Production support** * Receive, verify, and register materials (canvas, PVC, satellite fabric, threads, accessories). * Maintain basic inventory control and provide timely alerts regarding materials running low. * Organize production orders, print blueprints and cutting lists, and support internal logistics between printing, cutting, and sewing. **4\. Facility management and regulatory requirements** * Assist in updating documents required by the shopping center or municipality (health clearance, insurance policies, certifications). * Keep audit- or inspection-required documentation organized. * Track expiration dates of permits, contracts, and obligations. **5\. Invoicing and payment tracking** * Generate electronic invoices and send them to customers. * Record payments, issue cash receipts, perform basic reconciliations, and report to the accounting department. * Keep the income and expense ledger updated for internal reporting. **6\. Logistics and coordination** * Schedule appointments, deliveries, transportation, and pickups of inflatables. * Coordinate with external suppliers (printing, transportation, maintenance, supplies). * Prepare documentation for national shipments or event services. **7\. Information management and reporting** * Daily registration of sales, quotations issued, and production status. * Prepare weekly progress, inventory, and administrative activity reports. * Support the creation of customer databases and promotional campaigns. **8\. Operational area support** * Assist with necessary operational tasks, including product delivery, event support, or basic warehouse duties as required. * Maintain constant communication with production staff, sales team, and management. **9\. Compliance with safety and quality standards** * Follow biosafety, industrial safety, and material handling protocols. * Ensure proper document usage, confidentiality, and responsible information management.
