Administrative Assistant

We are looking for a responsible administrative assistant to handle various administrative and office tasks. The duties of the administrative assistant include providing support to our directors and employees, assisting with daily office needs, and managing the general administrative activities of our company. What are the responsibilities of an administrative assistant? The responsibilities of an administrative assistant include organizing travel and meetings, preparing reports, and maintaining appropriate filing systems. The ideal candidate should possess excellent oral and written communication skills and be able to organize their work using tools such as MS Excel and office equipment. If you also have prior experience as secretarial staff or executive administrative assistant and are familiar with our industry, we would like to meet you. Ultimately, the selected administrative assistant should ensure the efficient and proper daily operation of our office. Responsibilities Answer and forward phone calls Organize and schedule appointments Plan meetings and write detailed minutes Write and distribute emails, correspondence notes, letters, faxes, and forms Assist in the preparation of regularly scheduled reports Develop and maintain a filing system Update and maintain office procedures and policies Place orders for office supplies and research new arrangements and suppliers Maintain contact lists Make reservations and other travel arrangements Prepare and reconcile expense reports Provide general support to visitors Serve as a point of contact for internal and external clients Act as liaison with executive administrative assistants and superiors to manage requests and inquiries from senior directors Requirements Proven experience as an administrative assistant, virtual assistant, or office administrative assistant Knowledge of office management systems and procedures Practical knowledge of office equipment such as printers and fax machines Proficiency in MS Office (especially MS Excel and MS PowerPoint) Excellent time management skills and ability to prioritize tasks Attention to detail and problem-solving abilities Excellent written and verbal communication skills Strong organizational skills with the ability to multitask High school diploma; additional qualification as an administrative assistant or secretarial staff is a plus.
