




Job Summary: Sales Administration Coordinator responsible for supporting commercial and administrative management, ensuring process compliance and operational efficiency. Key Highlights: 1. Manages accounts receivable, collections, and monitors sales margins. 2. Ensures compliance with ADV processes in SAP and financial reporting. 3. Coordinates operations and calculates costs for billing. ### **Context and Environment** Employee is based in Bogotá. ### **Activities** **Main Responsibilities:** **Commercial** * Monitoring accounts receivable and managing collections. * Order control and communication with the board of directors. * Monitoring sales margins and validating invoiced figures. * Coordination with the commercial team to ensure proper order processing. * Management of commercial terms loading according to company policies. **Finance** * Ensuring compliance with ADV processes and controls in SAP. * Customer, pricing, and condition administration within the system. * Preparation and monitoring of financial reports and KPIs (DSO, revenue, accounts receivable). * Credit, risk analysis and management, and allocation of credit lines to customers. * Tracking credit notes, non-conformities, and collections. * Organizing the credit and accounts receivable committee. * Coordination with Management Control and Internal Audit on KPIs and guidelines. * Management of suppliers related to ADV processes. **Operations** * Coordination with the Operations team to ensure smooth order processing, dispatches, and deliveries. * Calculation of cost variables to ensure accurate provisioning for billing. ### **Candidate Profile** The Sales Administration Coordinator is responsible for supporting the commercial and administrative management of the department, ensuring process compliance and operational efficiency. **Profile Requirements:** * Graduate in Business Administration or related fields. * Experience: Minimum of 3 years in similar roles. * Specific knowledge: Sales Administration, Commercial Management, Financial Analysis, Advanced Excel, IT systems, Process Management, Customer Service. * Language: Spanish * SAP proficiency * Advanced Excel * English language proficiency Skills: * Teamwork and empathy to foster integration and seamless cross-functional process flow * Emotional intelligence and ability to work under pressure * Networking skills * Analytical and reporting capabilities * Attention to detail * Ability to handle difficult situations and make swift decisions ### **Additional Information** **TotalEnergies values diversity, promotes individual development, and provides equal employment opportunities to all candidates.** TotalEnergies Marketing & Services (M&S) is dedicated to developing petroleum product distribution activities and related services for the Company.
