TRIP SCHEDULER AND FLEET CONTROL OFFICER

JOB OBJECTIVE
Plan, schedule, and monitor dump truck trips according to the requirements of various projects, ensuring appropriate fleet distribution and utilization. Additionally, control and manage fuel refill authorizations, maintenance documentation, and other supporting records related to vehicle and yellow machinery operations.
MAIN RESPONSIBILITIES
* **Schedule dump truck trips daily**, in accordance with the requirements and needs of each project.
* Coordinate with project managers regarding the number of vehicles required, schedules, destinations, materials, and number of trips to be performed.
* Monitor the execution of scheduled trips and report any issues such as delays, vehicles out of service, schedule changes, or non-compliance.
* Maintain records of trips completed by each dump truck and keep corresponding logs up to date.
* Manage and **authorize fuel refills for dump trucks and yellow machinery**, verifying that they match actual operational needs.
* Track fuel consumption for vehicles and machinery, identifying potential inconsistencies or consumption outside established parameters.
* Collect, organize, and maintain updated **monthly maintenance documentation for dump trucks**, including records of preventive and corrective maintenance.
* Monitor upcoming maintenance dates for dump trucks and promptly alert when vehicles require servicing.
* Maintain organized and up-to-date documentation related to fleet operations and maintenance.
* Coordinate with the maintenance department regarding vehicle availability, mechanical issues, and estimated repair times to adjust trip scheduling accordingly.
* Record incidents occurring during dump truck and yellow machinery operations.
* Prepare periodic reports on trips completed, fuel consumption, vehicle availability, maintenance activities, and other operationally required information.
* Verify that information recorded in trip logs, fuel refill records, and maintenance logs is complete, clear, and timely.
* Immediately inform the immediate supervisor of any incident that may affect operations, fleet availability, or project delivery.
* Support other administrative and operational activities related to fleet control as assigned by the immediate supervisor.
RESPONSIBILITIES
* Ensure organized and timely trip scheduling.
* Keep dump truck operational logs up to date.
* Perform adequate control and monitoring of fuel consumption.
* Ensure proper handling and archiving of maintenance documentation.
* Promptly report incidents that may impact service delivery.
* Ensure correct utilization and availability of the fleet.
REQUIRED PROFILE
**Education:** Technical, technological, or undergraduate student in administrative, logistics, operations, transportation, or related fields.
**Experience:** Minimum 1 year of experience in vehicle scheduling, logistics, transportation, fleet control, operations, or similar roles.
**Knowledge:**
* Proficiency in Excel.
* Vehicle scheduling and control.
* Trip and fuel consumption control.
* Documentation management.
* Maintenance tracking.
* Proficiency in office productivity tools.
* Experience in transportation, construction, earthmoving, or yellow machinery companies is desirable.
