Our team of experienced property managers works tirelessly to ensure that our properties are well\-maintained and that our renters are completely satisfied with their living or working spaces. **Job Title:** Maintenance Back Office Coordinator **Location:** Remote **Working Hours:** 8:00 AM EST – 5:00 PM EST, Monday to Friday We are seeking a highly organized and detail\-oriented **Maintenance Back Office Coordinator** to support the daily maintenance operations of our property management company. This role is responsible for scheduling maintenance visits, communicating with tenants, updating reports, monitoring work orders, and handling day\-to\-day administrative maintenance tasks. The ideal candidate is proactive, responsive, and able to manage multiple priorities in a fast\-paced environment. **Key Responsibilities:** **Daily Scheduling and Task Management** · Assign and schedule maintenance visits for the day. · Review previously assigned maintenance tasks and update their status as needed. · Maintain and update daily maintenance reports with all changes and progress. · Plan and coordinate maintenance visits for the following day. · Review open work orders that are pending scheduling or inspection. **Tenant Communication** · Notify tenants of scheduled maintenance visits for the next day. · Respond to tenant emails in a timely and professional manner. · Answer incoming phone calls from tenants regarding maintenance issues, updates, and scheduling. · Confirm receipt of newly created work orders and communicate this to tenants. **Administrative Support** · Keep reports and internal maintenance records accurate and up to date throughout the day. · Monitor newly submitted work orders and ensure they are properly recorded and addressed. · Assist with miscellaneous administrative and coordination tasks related to the maintenance department. **Work Schedule Expectation:** This role follows a structured daily workflow: · **First 2 hours:** schedule same\-day visits, review previous day’s tasks, and update report. · **Middle 4 hours:** handle emails, tenant calls, texts, work orders, reporting, and miscellaneous tasks. · **Last 2 hours:** prepare next day’s schedule and notify tenants of upcoming visits.
