




Job Summary: Administrative accounting assistant with skills in data entry, document management, and support for billing and internal procurement processes. Key Highlights: 1. Job Description Key responsibilities include: Receiving correspondence, invoices, and packages sent to and dispatched from both suppliers and clients. Requesting electronic invoices from suppliers and recording relevant information related to such requests. Data entry and handling of documentation using internal accounting and administrative control formats as support for departmental operations, including petty cash, staff entry and exit records, and stationery supply distribution. Entering electronic invoices into the company’s accounting software, following predefined parameters and guidelines set by the department. Performing administrative tasks such as notifying suppliers of payments, submitting invoices to clients, requesting certificates, completing documentation for various administrative procedures, and receiving electronic invoices issued by suppliers—strictly adhering to company-established procedures and formats. Preparing corresponding delivery notes with delivery dates, products, and quantities, attached to both physical and digital purchase orders. Organizing and delivering organizational administrative information in response to documentation requests from suppliers, clients, or any other interested party. Managing certain internal procurement processes related to the position, being responsible for handling necessary purchase orders, managing supplier credit terms, obtaining information from suppliers and clients, and negotiating pricing or other conditions with them. Preparing general documents (e.g., internal forms, letters, delivery notes, and emails) as required by operational needs. Managing physical and digital files for the department. **Requirements** * **Minimum Education: Technical or technological degree in accounting-related fields.** * **Minimum 1 year of certified experience.** * **Knowledge: Proficiency in Microsoft Office, especially Excel; familiarity with Outlook.
