This position is part of the firm’s immigration team, **with specialization in deportation defense cases**, where urgency and precision are fundamental. The Legal Assistant works closely with the Legal Assistant and the Case Manager, providing support in communication, document organization, and operational case management. **Reporting Relationship** Legal Assistants work under the supervision of Legal Assistants and the Case Manager, supporting the legal team’s operational needs. **Authority** Legal Assistants are not attorneys and are prohibited from practicing law. They must not provide legal advice or interpret legal decisions for clients. **Urgency and Quality Standards** Given that the Raleigh Immigration Law Firm specializes in deportation defense, time is critical in many cases. Clients may be detained by ICE or face urgent court deadlines, meaning the legal team must act quickly while maintaining high standards of accuracy and organization. Legal Assistants are expected to: * Work urgently and efficiently when requesting documents, updating files, and communicating with clients. * Ensure client files, documentation, and calendars are accurate and organized—even under time pressure. * Balance speed with attention to detail, understanding that incomplete or incorrect documentation can delay a case. * Immediately communicate with the Legal Assistant upon receiving documents, updates, or questions from clients. * Prioritize urgent case needs and assist the legal team in advancing cases. **Availability Expectations:** * Must be available to work evenings and nights (after 5:00\ PM). * Must be available for at least 3 days per week (not necessarily the same days, but generally consistent availability in the afternoons). * Must be available on Saturdays and Sundays if urgent situations arise requiring immediate action. * Flexibility is essential due to the urgency of deportation defense cases. * Additional compensation is offered for hours worked after 5:00\ PM. **Key Responsibilities** **Client Communication:** * Communicate with clients by phone, email, and messaging as directed by the Legal Assistant. * Request documents and information from clients per instructions from the Legal Assistant. * Provide logistical information or updates per instructions from the Legal Assistant. * Ensure client inquiries are responded to promptly, consulting with the Legal Assistant as needed. **Client File Management:** * Maintain organized client files. * Ensure all documents are correctly uploaded and labeled in the client file. * Receive and organize documents and evidence from clients. Ensure documentation received from clients is properly stored and accessible. **Calendar and Scheduling Management** * Maintain accurate and up-to-date calendars for attorneys and Legal Assistants. * Schedule appointments and meetings. * Track deadlines and upcoming case events. **Case Support** * Assist the Legal Assistant in gathering necessary documents and information for case preparation. * Notify the Legal Assistant when documents or updates are received from clients. * Support administrative tasks related to case preparation. **CRM and Documentation Compliance** * Ensure communications, notes, documents, and evidence are accurately recorded in the CRM. * Maintain detailed notes regarding client communication and case progress. * If it’s not documented in the CRM, it didn’t happen. **Time Tracking** * Maintain accurate and timely time records in the firm’s time-tracking system. * Ensure time entries reflect work completed for each case. **Required Skills and Qualifications** **Education and Experience** * High school diploma required; college education preferred. * **1–2 years of experience as a legal assistant or in a legal/immigration setting preferred.** * **Prior experience in immigration law—especially deportation defense—is highly valued.** * Experience working in a law firm or supporting attorneys in a legal environment is strongly preferred. * **Fluency in both English and Spanish is required.** **Professional Skills:** * Excellent communication skills. * Organization and time management. * Attention to detail. * Client-service orientation. * Ability to multitask effectively. **Technical Skills:** * CRM systems. * Google Workspace. * Data entry and document organization. * Administrative systems. **Core Competencies:** * Communication. * Organization. * Customer service. * Adaptability. * Team collaboration. **Key Performance Indicators:** * Client inquiries responded to within required timeframes. * Documents correctly saved and labeled in the client file. * Calendars accurately updated. * CRM accurately updated with notes and documentation. * Accurate time tracking.
