**Position: Production and Dispatch Coordinator**
**Department:** Operations / Production and Logistics
**Immediate Supervisor:** General Management or Operations Director
**Direct Reports:** Production, warehouse, order picking, and dispatch personnel, as defined by the company structure.
**Job Objective:** Plan, coordinate, control, and monitor production, storage, finished goods inventory, and dispatch activities to ensure timely order fulfillment, inventory availability, efficient resource utilization, personnel productivity, and compliance with company-established quality, safety, and procedural standards.
**Academic Qualifications:**
Professional degree in:
* Industrial Engineering.
* Production Engineering.

* Logistics Engineering.
* Related fields.
A Technologist degree in Industrial Production, Logistics, or related areas may be considered if accompanied by extensive and verifiable experience in plant coordination, personnel management, and operational control.
**Required Experience:**
Minimum **3 years of experience** in production coordination or supervision roles, preferably in manufacturing companies or industries involving fabrication and dispatch processes.

**MAIN RESPONSIBILITIES**
**1\. Production Planning and Control**
* Develop and execute daily, weekly, and monthly production schedules aligned with orders, commercial forecasts, and inventory levels.
* Ensure timely manufacturing of required products, meeting quantities, specifications, and scheduled deadlines.
* Conduct daily monitoring of production plan adherence and promptly report delays, shortages, or risks.
* Coordinate availability of raw materials, packaging, labels, and packing materials required for production.
* Review and control raw material and material yield per process.
* Identify and reduce waste, rework, downtime, and production losses.
* Coordinate with the Quality department to address non-conforming products, returns, rework, and corrective actions.
**2\. Personnel Management**
* Coordinate, assign, and supervise production, warehouse, and dispatch personnel activities.
* Organize shifts, schedules, and staffing needs according to production and dispatch plans.
* Monitor attendance, punctuality, productivity, and task execution by the team.
* Identify training needs and support staff development.
* Promote teamwork, order, discipline, and procedural compliance.
* Evaluate performance of direct reports and identify improvement opportunities.
**3\. Inventory and Storage**
* Ensure proper control of finished goods inventory.
* Maintain inventory levels consistent with the company’s commercial and operational requirements.
* Track inventory discrepancies and coordinate necessary corrective actions.
* Ensure correct product identification, location, storage, and rotation.
* Coordinate physical inventories and validate identified discrepancies.
* Ensure order, cleanliness, and appropriate organization of production and warehouse areas.
**4\. Order Picking and Dispatch**
* Coordinate order preparation and picking in accordance with approved requests.
* Ensure orders are delivered complete, accurate, and within established timeframes.
* Verify that products, quantities, batches, documents, and dispatch conditions match each order.
* Coordinate deliveries with Sales, Logistics, carriers, and customers as required.
* Monitor pending orders, incomplete deliveries, exceptions, and returns.
* Analyze causes of dispatch errors and implement preventive actions.
* Ensure dispatch documentation and delivery proof are promptly delivered to the relevant department.
**5\. Indicators and Continuous Improvement**
* Prepare and present daily, weekly, and monthly reports on production, inventory, dispatch, and productivity.
* Monitor area-defined indicators and establish action plans when targets are not met.
* Propose and implement improvements to increase productivity, reduce costs, and optimize processes.
* Identify bottlenecks and propose alternatives to improve production and dispatch capacity.
* Monitor overtime usage and justify operational needs.
**6\. Quality, Safety, and Compliance**
* Ensure compliance with company-defined procedures, work instructions, and standards.
* Ensure adherence to Occupational Safety and Health regulations and proper use of personal protective equipment.
* Guarantee compliance with order, cleanliness, and safety requirements in production and warehouse areas.
* Support internal, external, customer, and regulatory audits.
* Promptly report deviations, incidents, risks, and conditions that could affect product quality, safety, production, or delivery.
* Collaborate closely with Technical Management and the Quality department, respecting their responsibilities and criteria for product approval and release.
