LIME Painting of Westchester serves homeowners with premium interior and exterior painting, coatings, and restoration services. We are seeking a highly organized and proactive **Virtual Assistant** to support sales follow\-up, scheduling, marketing coordination, pre\-production tracking, and day\-to\-day administrative operations. This is a high\-impact support role for someone who is detail\-oriented, dependable, and comfortable managing multiple priorities in a fast\-paced environment. **Position Overview** The Virtual Assistant will provide operational and administrative support across several areas of the business, including lead management, calendar coordination, customer follow\-up, social media execution, pre\-production readiness, subcontractor communication, and light financial tracking. This role is designed to help improve organization, maintain consistency, and support business growth by keeping important tasks moving forward. The role profile emphasizes proactive follow\-up, pipeline organization, scheduling, social media support, and pre\-production tracking before jobs begin. The ideal candidate is a strong communicator who can work independently, stay organized, and help ensure that leads, projects, and internal processes do not fall behind. The profile also highlights CRM management, scheduling tools, spreadsheet tracking, and the ability to support contractors, clients, and the owner through clear communication and follow\-through. **Responsibilities for the Virtual Assistant** Sales and Lead Management * Manage lead intake and keep CRM records organized and up to date * Schedule lead appointments, consultations, and site visits * Follow up with prospective customers after estimates * Track lead progress through the sales pipeline * Support reporting and visibility into lead status and activity Calendar and Executive Support * Manage calendars, appointments, and scheduling priorities * Coordinate meetings, calls, and job\-related appointments * Assist with inbox organization and follow\-up communication * Help keep daily priorities clear and organized Social Media and Marketing Support * Schedule and publish social media content across company platforms * Coordinate with marketing or corporate resources as needed * Support consistency in posting cadence and brand visibility * Track engagement and assist with reporting on marketing activity Pre\-Production and Project Readiness * Track pre\-production requirements before job start * Help ensure client selections, scheduling details, and subcontractor confirmations are complete * Flag missing items or potential delays before projects begin * Support job readiness and help reduce avoidable disruptions Subcontractor and Operations Support * Assist with subcontractor communication and scheduling confirmations * Help organize subcontractor records and documentation * Support general operational coordination and workflow tracking Administrative and Financial Support * Assist with documentation, spreadsheets, and process tracking * Track basic accounts receivable and accounts payable information for internal visibility * Prepare organized information for the bookkeeper or monthly reviews * Help maintain systems, checklists, and standard operating processes **Qualifications for the Virtual Assistant** * Previous experience in an administrative, virtual assistant, operations support, or project coordination role preferred * Experience supporting a contractor, home services business, or similar service\-based company is strongly preferred * Strong written and verbal English communication skills * Experience with CRM systems, scheduling tools, and spreadsheets * Familiarity with social media platforms such as Instagram and Facebook * Strong organizational skills and attention to detail * Ability to manage multiple tasks and follow through consistently * Comfortable working independently and identifying issues before they become problems * Basic understanding of lead follow\-up, scheduling, and administrative process management * Basic financial tracking experience is a plus **Preferred Traits** * Proactive and solution\-oriented * Highly accountable and dependable * Process\-minded and organized * Comfortable communicating with clients, subcontractors, and internal team members * Able to adapt across sales support, marketing, operations, and administrative tasks **Compensation and Benefits** * Full\-time employment * Remote position * Pay Range: $7 to $10 per hour based on experience and skills. *LIME Painting is an equal opportunity employer.
