Recognized globally as the benchmark for quality and integrity, SGS employs over 95,000 people and operates a network of more than 2,400 offices and laboratories worldwide. **Job Description** **Key Responsibilities** **Sample Registration and Control:** * Enters various data, registers jobs, and validates the accuracy of certain operational data in the laboratory’s LIMS system, as trained and assigned. Key focus areas may include sample login data, field data, subcontracted laboratory data, verification of report data accuracy, invoice data, maintenance of a customer database, and others. **Administrative Data Entry:** * Performs simple data entry while verifying the accuracy and consistency of entered data to ensure information quality. * Organizes and maintains up-to-date databases with relevant and properly structured information. * Extracts and compiles data to generate simple reports supporting decision-making or internal processes. * Assists in data review and cleansing during internal or external audit processes. * Reports detected data discrepancies or inconsistencies to the responsible parties for correction. **Billing Support:** * Generates invoices for clients. * Reviews that all required information for invoicing (client details, services performed, pricing) is accurate and complete. * Enters and maintains updated billing and payment records in the accounting or ERP system. * Produces periodic reports on billing, received payments, and accounts receivable for the finance and management teams. **Report Preparation:** * Prepares laboratory reports or other types of reports containing accurate information: sample identification, analyzed parameters, results, methods used, applicable standards, and conclusions. * Verifies that test results meet standards and are consistent. * Ensures all data (samples, dates, analytical methods, results) are complete and correct. * Submits certificates for review and approval by the supervisor or laboratory responsible person. * Reports any errors or inconsistencies identified during review. * Stores physical and digital copies of certificates for traceability and regulatory compliance. * Sends certificates to clients via the agreed channel (email, digital platform, physical printout). **The following responsibilities apply to all functions listed above:** * At all times, complies with the SGS Code of Integrity and Professional Conduct. * Performs other data quality verification tasks assigned in the future. * Provides reports documenting reviews and changes when necessary. * Ensures laboratory deadlines are met and immediately notifies the GBS Team Coordinator (or the section’s Laboratory Manager in their absence) if the specified response time cannot be met. * Adopts and supports specific operational improvement activities communicated by the GBS EHS Supervisor. These projects will focus on improving quality and efficiency. * Seeks efficiency gains within their section by staying informed about new technologies and reviewing existing procedures. * Capable of responding to technical inquiries. * Performs other related tasks assigned, either in support of departmental objectives or for their training, education, or personal or professional development, as scheduled by their immediate supervisor. * Participates in scheduled weekly or monthly meetings with team members, laboratory affiliates, and supervisors as needed to ensure immediate and ongoing issues are addressed. * Ensures the RBSGBS work area remains clean and presentable at all times. * Remains familiar with SGS quality control procedures. * Complies with all SGS QHSE and HR policies and procedures. **Requirements** **Academic Qualifications:** * University degree, minimum of four years completed in related fields. * Intermediate-to-advanced English (B2 or C1 level). **Experience:** * Minimum of one year of experience in data entry, management, and verification is preferred. * Demonstrated experience in data quality and operational excellence. **Technical Skills:** * Excellent written and verbal communication skills in English (B2 or C1 level). * Strong MS Excel skills. * Detail-oriented. * High level of integrity. * Ability to learn new software applications. * Teamwork and cooperation. * Organization and efficiency. * Accountability. **Additional Information** Schedule: Monday to Friday Work Mode: On-site Salary: 3,300,000 COP Permanent direct contract with GBS.
