Job Summary: We are seeking an Administrative Assistant in Barranquilla with responsibilities including visitor reception, document management, logistical support, and travel arrangements. Key Highlights: 1. Multifunctional role involving visitor reception and document management. 2. Logistical support for company events and activities. 3. End-to-end travel arrangement processing and payroll support. **We are looking for:** A candidate for the Administrative Assistant position to work in Barranquilla, Atlántico, Colombia. **Responsibilities:** 1\. Provide reception services for external visitors and direct them to the appropriate department. 2\. Answer incoming phone calls and route them appropriately and promptly. 3\. Manage correspondence and other departmental documents throughout all stages: document handling, administration, control, classification, physical and digital archiving. 4\. Assist in preparing materials and organizing and executing activities held within the company, supporting logistics for such activities—including employee well-being, meetings, and other scheduled events—by anticipating agenda, program, invitation, call-for-participation, equipment, material, and other requirements. **5\. Handle travel arrangements and related contracting tasks, including:** travel authorizations, contacting hotels and travel agencies, reservations, itineraries, per diems, insurance, expense reports, travel reports, invoice processing, and other related tasks. 6\. Support procurement of office supplies, cafeteria items, and other required materials. 7\. Complete forms and official letters addressed to various entities. 8\. Monitor staff absenteeism. 9\. Enter personnel updates into the payroll calculation system. 10\. Calculate preliminary payroll using the payroll calculation system. 11\. Prepare flat files for payroll disbursement. 12\. Process social security contributions. 13\. Generate electronic payroll records. 14\. Support preparation of various reports for month-end closing for the Administrative and Human Resources departments. 15\. Support implementation of planned activities under the Occupational Health and Safety Management System, as directed by the responsible officer. 16\.
