POSITION SUMMARY The Executive Assistant will provide high-level bilingual administrative, operational, and executive support to the Chief Executive Officer and leadership team in Colombia. This position serves as the central coordination point between the corporate headquarters in the United States and local operations in Colombia, helping ensure clear communication, organized execution, and reliable office support. The ideal candidate is highly organized, discreet, professionally bilingual in English and Spanish, and comfortable supporting a dynamic expansion environment involving municipal, commercial, and energy infrastructure projects. This role will be instrumental in helping establish, manage, and strengthen daily office operations in Colombia. KEY RESPONSIBILITIES Office Management and Administration: Support the physical operations of the office in Colombia, acting as a professional resource for internal team members, visiting executives, partners, suppliers, and affiliates. Executive Support: Manage calendars, coordinate meetings, organize travel logistics, prepare agendas, and support the CEO and visiting U.S. leadership with daily administrative needs. Cross-Border Coordination: Serve as a key liaison between the U.S. corporate office and local stakeholders in Colombia, including municipal officials, engineering partners, suppliers, and project teams. Bilingual Communication and Translation: Provide accurate interpretation and translation between Spanish and English for business communications, meetings, project documentation, correspondence, and executive-level conversations. Project Coordination: Assist with scheduling site visits and surveys, maintaining project documents, organizing digital files, tracking deliverables, and accurately recording information in the company’s systems and CRM. Documentation and Reporting: Draft professional correspondence, meeting minutes, reports, presentations, and administrative updates for leadership review. Support for Suppliers, Partners, and Key Stakeholders: Coordinate onboarding processes, communications, and follow-up with local staff, contractors, consultants, municipal contacts, and strategic partners. Events and Logistics: Support the planning and execution of domestic meetings, site visits, presentations to key stakeholders, alliance launches, and other business events. Confidentiality and Professional Standards: Handle sensitive business information with discretion, including contracts, regulatory disclosures, financing discussions, and alliance negotiations. REQUIREMENTS Bilingual Fluency: Full professional proficiency in both Spanish and English, written and verbal, with ability to support technical, legal, commercial, and project-related communications. Relevant Experience: Prior experience as an Executive Assistant, Office Administrator, Project Coordinator, or similar administrative role in a dynamic business environment. Technical Proficiency: Advanced proficiency in Microsoft Office applications, Google Workspace, calendar management tools, document management systems, and WhatsApp for professional business communication. Organizational Capacity: Ability to manage multiple priorities, maintain accurate records, track pending tasks, and meet deadlines with minimal supervision. Professional Judgment: High degree of integrity, discretion, and professionalism when supporting senior leadership and handling confidential information. Adaptability: Comfort operating in an early-stage expansion environment where responsibilities may evolve and priorities may shift rapidly. Transportation: Valid driver’s license and reliable transportation preferred; availability to travel locally as needed to project sites, meetings, and business functions.
