Handling exceptions, ensuring information reliability for both orders and company returns, and overseeing correct documentation procedures. Work Schedules: • Week 1: Monday to Friday, 7:00 a.m. to 5:00 p.m.; Saturday off. • Week 2: Monday to Friday, 10:00 a.m. to 7:00 p.m.; Saturday work: 4 hours. • Rest Days: Ideally two Saturdays per month. **Responsibilities** ------------- 1\. Document management and use of Office tools • Create, update, and organize documents, reports, and databases using Microsoft Office tools (Word, Excel, PowerPoint). • Record and consolidate information into formats established by the department. • Ensure proper physical and digital classification and archiving of documentation. 2\. Drafting and managing emails • Draft clear, professional, and coherent emails for internal and external communication. • Manage the institutional email inbox, providing timely follow-up and responses to requests. • Draft formal communications, notices, memoranda, and reports. 3\. Internal and external customer service • Provide friendly, accurate, and timely guidance to colleagues, suppliers, and visitors. • Resolve inquiries related to departmental processes, services, or procedures. • Route requests to the appropriate units and follow up until resolution. • Maintain a service-oriented attitude, ensuring a positive user experience. 4\. General administrative support • Coordinate and support departmental logistical activities (e.g., meetings, scheduling, minutes preparation). • Keep operational information up to date to support decision-making. • Support the execution of projects, initiatives, or internal campaigns.
