Job Objective Coordinate administrative and financial activities in accordance with departmental and company policies, to achieve budgeted results, control operational outcomes, and generate company profit through efficient resource utilization. Requirements A professional in Administration, Finance, or related fields, with at least two years of experience coordinating and supporting various departments in planning and executing administrative tasks. The candidate must develop and implement policies and procedures contributing to improved operational efficiency, as well as manage and monitor budgets, control expenses, and optimize resources. Additionally, the candidate will be responsible for preparing and presenting financial and administrative reports to senior management, and for supervising, training, and mentoring administrative staff, promoting a collaborative, results-oriented work environment. Prior experience in logistics, finance, billing, administrative processes, and procurement is essential; strong analytical and problem-solving skills; excellent communication and interpersonal competencies; and proficiency in office software and administrative management systems are required. Working hours are Monday to Friday, from 7:00 a.m. to 5:00 p.m. Responsibilities • Monitor proper processing of accounting entries. • Review and verify that invoices are charged to the correct cost centers (dimensions) and aligned with the project and client. • Monitor transportation billing and its profitability. • Track billing versus operations coordinated by transport operations teams. • Conduct periodic audits comparing billing against services rendered. • Monitor revenues versus operational costs. • Consolidate transaction report files for UIAF. • Validate accounts receivable statements with suppliers. Conduct appropriate follow-up on supplier-acquired accounts receivable. • Monitor month-end closing. • Prepare month-end closing projections (estimated revenues and costs). • Validate provisions. • Prepare periodic indicator reports. • Monitor accounting entries with support from the financial consultant. • Ensure customer billing is recorded in the correct dimensions. • Prepare cost-benefit analysis reports for operations. • Track services provided by suppliers and services delivered to customers. • Prepare supporting documentation for transaction reporting to UIAF. • Respond promptly to requests from the Administrative Directorate.
