




Job Summary: The Sales Administration Coordinator will support commercial and administrative management, ensuring process compliance and operational efficiency. Key Responsibilities: 1. Manages portfolio, orders, and commercial terms for the sales department. 2. Ensures compliance with financial processes and manages customers/pricing. 3. Coordinates operations and analyzes finance to ensure smooth functioning. ### **Context and Environment** Employee is located in Bogotá. ### **Activities** **Main Responsibilities:** **Commercial** * Portfolio follow-up and collections management. * Order control and communication with the board of directors. * Monitoring of sales margins and validation of invoiced figures. * Coordination with the sales department for correct order processing. * Management of loading commercial terms according to company policies. **Finance** * Ensures compliance with ADV area processes and controls in SAP. * Management of customers, pricing, and conditions in the system. * Preparation and monitoring of financial reports and indicators (DSO, revenue, portfolio). * Credit, risk analysis and management, and allocation of credit lines to customers. * Follow-up on credit notes, non-conformities, and collections. * Organization of the credit and portfolio committee. * Coordination with Management Control and Internal Control on KPIs and guidelines. * Management of suppliers related to ADV processes. **Operations** * Coordination with the Operations department to ensure smooth order processing, dispatches, and deliveries. * Calculation of cost variables to ensure accurate billing provisioning. ### **Candidate Profile** The **Sales Administration Coordinator** is responsible for supporting the commercial and administrative management of the department, ensuring process compliance and operational efficiency. **Profile Requirements:** * Professional with a degree in administration or related fields. * Experience: Minimum of 3 years in similar roles. * Specific knowledge: Sales Administration, Commercial, Financial Analysis, Excel proficiency, IT systems, Process Management, Customer Service. * Language: Spanish * SAP proficiency * Advanced Excel * English language proficiency Skills: * Teamwork and empathy to foster integration and fluidity across all interfacing departments * Emotional intelligence and ability to work under pressure * Networking skills * Analytical and reporting capabilities * Attention to detail * Ability to handle difficult situations and make swift decisions ### **Additional Information** **TotalEnergies values diversity, promotes individual development, and offers equal employment opportunities to all candidates.** TotalEnergies Marketing & Services (M&S) is dedicated to developing petroleum product distribution activities and related services for the Company.
